Part-Time Administrative Assistant

Summary

We are seeking an individual with a passion for sustainable agriculture and a drive to provide exceptional administrative and accounting support within the areas of Purchasing, Accounts Payable, Executives and Office Operations.

Responsibilities

  • Performs administrative and clerical duties for designated company executives and middle management team members to include filing, emailing, maintenance of calendars and meeting preparation, contact lists, and similar administrative duties
  • Performs receptionist duties to include answering and routing incoming calls, distribution of incoming mail, processing outgoing mail, and receiving visitors into the office
  • Performs the activities associated with receipt, reconciliation, and payment of company payables
  • Performs the activities to reconcile employee expense reports, verifies accuracy and approval per company guidelines, and submits for payment
  • Performs filing and recordkeeping associated with accounting and financial activities
  • Performs duties related to ordering, inventorying, and storing office and laboratory supplies
  • Creates purchase orders, per company directives, for office and laboratory equipment; coordinates delivery and installation, and is responsible for oversight and scheduling of on-going maintenance – submits invoices to external accounting firm for payment
  • Assists company to organize and conduct business meetings by preparing and scheduling agendas, scheduling meeting rooms, printing and distributing materials, and any associated activities
  • Performs activities, in conjunction with members of the Administrative team, related to the appearance and maintenance of the office space either through personal initiatives (such as tidying the kitchen, clean up after meetings) or by referral to building maintenance staff
  • Follows directives of management to assure that other members of the Administrative team are aware of the status of shared assignments and any role they must assume in completion of assignments
  • Performs other duties, of a similar administrative nature, as assigned

Minimum Skills / Qualifications

  • High School or GED qualification
  • Experience handling similar administrative duties including organization & maintenance of filing systems, scheduling, reception duties, etc.
  • Experience in an administrative position requiring internal customer service and interaction with guests and visitors of the company
  • Experience performing duties related to processing accounts payable and purchasing
  • Experience organizing and retrieving hard-copy and electronic information effectively (data management)
  • Experience in positions requiring significant attention to detail, above-average accuracy, independent problem solving, and managing multiple tasks
  • Prior experience utilizing verbal and written professional communication skills to include business composition, and effective writing and speaking
  • A working knowledge of the operation of standard office equipment
  • Basic proficiency in MS Office, particularly Word, Excel, and Outlook
  • Demonstrated ability to work successfully in a team environment, functioning for the good of the team over the individual
